In this post, I’m breaking down my current online business tech stack in 2025, including the tools, platforms, and software I actually use to run my digital product business. Not the shiny “dream stack.” Not the overly complicated setups people show off online. Just what I genuinely rely on right now to create content, sell digital products, manage clients, and keep everything running smoothly.
This is not a perfectly polished, hyper-strategic breakdown. It’s real, simple, and intentionally minimal.

Why a simple tech stack matters in online business
Over the years, I’ve tested and changed a lot of tools. Some worked, some were overkill, and some I abandoned simply because I didn’t need that level of complexity.
What I’ve learned is this: simplicity beats complexity almost every time.
I prefer tools that are easy to use, budget-friendly, and don’t require constant maintenance or second-guessing. I’m not interested in stacking dozens of subscriptions just because they look “advanced.” If a simpler option does the job, I’ll take it.
That mindset shapes my entire toolstack.

My online business toolstack
My Website: Self-hosted WordPress
My website has been the backbone of my online business since I started in 2015. I’ve always used a self-hosted WordPress setup, and for me, it continues to be the most flexible option.
Having your own website gives you full control over your content, branding, and structure. You can create landing pages, publish blog posts, host podcast episodes, and build SEO traffic without relying entirely on third-party platforms.
There are plenty of website options out there, and there’s no single “correct” choice. But I do believe every online business benefits from having a central home base that they fully own.
Email Marketing: MailerLite
Email marketing is one of the most important parts of my business, and I currently use MailerLite.
It’s been my go-to platform for years because it’s simple, intuitive, and reliable. I use it for list building, automated email sequences, tagging, segmentation, and regular newsletters.
The interface is clean, the pricing is reasonable, and it gives me all the functionality I need without overcomplicating things. For me, it strikes the right balance between power and simplicity.
If you’re building an email list for your digital products, this is one of the tools I consistently recommend.

Content creation tools I use
Content creation is a big part of my business, and I keep my tools very practical.
- For video editing on mobile, I use InShot. It’s simple, fast, and does everything I need for social media content.
- For desktop video editing, I use free CapCut version (yes, most people use it on mobile too but since I got started with InShot first, I’ve been used to it ever since).
- For audio and content editing, I use Descript. This is one of the newer additions to my stack, and it has quickly become essential. I use it for podcast editing, captions, and audio cleanup. The ability to edit audio and video through text is a major time-saver.
- For screen recording, I use both Descript and Loom, depending on the type of project. For content that will undergo editing, I use Descript, while most of my on-the-go client notes and walkthroughs are recorded via Loom.
Podcast Hosting: Captivate
For podcast hosting, I use Captivate. It’s straightforward, reliable, and makes distributing episodes across platforms very easy. It integrates smoothly into my workflow and doesn’t require much maintenance, which is exactly what I want from a hosting tool.

Project and Business Management Tools
- For daily task management, I use Asana. It keeps my business tasks organized without feeling overwhelming.
- For course creation projects and client work, I use Trello. It’s simple, visual, and works well for mapping out larger workflows.
- For contracts, invoices, and client onboarding, I mostly use templates and handle things manually unless I’m actively running a structured client period.
- I also occasionally use Dubsado when I’m working with more clients or need a more formal system in place. I don’t keep it active all the time, but I turn it on when needed.
- For scheduling, I use TidyCal. It was a one-time purchase, which I love, and it replaced Calendly for me. It handles bookings and even payment collection when needed.
- For calls, I use Zoom. It’s still the most reliable and widely used platform for client calls and meetings.
Design and Documents
- For design work, I use Canva. It’s a core tool in my business and something I use almost daily for content creation, slides, and marketing materials.
- For documents and forms, I use Google Docs and Google Forms. Simple, accessible, and effective.
- For file storage, I personally prefer Dropbox over Google Drive, although I still use Google Drive indirectly through Docs.
What’s the perfect business setup?
There really isn’t one perfect way to go.
There are only tools that work for your current stage, your budget, and your way of working.
It’s very easy to get distracted by what other people are using, but most of the time, simpler setups are just as effective as complex ones. You don’t need ten different platforms to run a successful digital product business.
In fact, overcomplicating your tech stack often slows you down instead of helping you scale.
Final Thoughts
This is my current online business toolstack in 2026, but it has changed many times over the years and will likely continue to evolve.
The most important thing I’ve learned is this: choose tools that support your workflow, not complicate it.
Start simple. Stay flexible. And only upgrade when there is a clear reason to do so.
Because in most cases, your success won’t come from having the perfect toolset. It will come from consistently showing up, creating value, and selling what you already have.
And that part doesn’t require fancy software at all.
